Workflow apps on the platform you already own.

Not every business workflow deserves its own SaaS tool. We build custom apps on ServiceNow's App Engine and Workspace framework for teams that want one platform, one identity model, and one data source of truth — without a bespoke engineering program for each new process.

What it is

Custom Applications & App Engine

ServiceNow's App Engine, App Engine Studio, and Workspace framework let you build business applications — HR case management, facilities requests, M&A integration trackers, sector-specific workflows — on the same platform that runs your IT. Custom apps inherit identity, CMDB, integration, and UI primitives from ServiceNow rather than reinventing them.

When we recommend it

Fit signals.

  • A team wants to buy a new SaaS tool for workflow-heavy work already covered by ServiceNow's primitives
  • You want to consolidate 5+ small SaaS tools onto a platform you already pay for
  • Identity, access, or data-residency requirements make a new vendor expensive to evaluate
  • You need tight integration with existing ITSM / CMDB / GRC flows
When it isn't the right call

Honest tradeoffs.

  • The application is customer-facing with high-concurrency or heavy UI customization needs
  • The underlying data model is fundamentally incompatible with ServiceNow's platform
  • Low-code speed on OutSystems or a bespoke Next.js build would clearly ship faster
Capabilities

What we deliver in Custom Apps.

Every capability below is practiced across multiple production engagements — not a scoping checklist.

Architecture & design

  • Scoped-app design with clean dependency boundaries
  • Data model + relationship design (not CMDB abuse)
  • Workspace vs classic UI tradeoffs
  • Integration pattern selection (IntegrationHub, scripted REST, MID)

Delivery

  • Flow Designer + Workflow Studio orchestration
  • UI Builder for modern workspace experiences
  • Mobile app design where the use case warrants it
  • Now Assist integration for draft/summary workflows

Engineering rigor

  • ATF coverage as standard
  • Git-backed source control via Config-as-Code
  • CI pipelines for update-set promotion
  • Performance testing for high-volume workflows

Delivery patterns

  • HR case management, onboarding, offboarding
  • Facilities, procurement, travel request
  • M&A integration trackers, project intake
  • Sector-specific: claims intake, clinical workflows, grant tracking
Engagement patterns

The shapes this work
usually takes.

Bespoke workflow app

Typical: 10–16 weeks. One business team, one clear process, one scoped app. The fastest way to prove the App Engine case.

SaaS consolidation

Typical: 16–24 weeks. Retire 3–5 small SaaS tools by replacing them with ServiceNow apps; save on licence + vendor management.

Now Assist-enhanced app

Typical: 12–16 weeks. Custom app with LLM features (summarization, draft generation, triage) built in from day one with evaluation rigor.

Managed custom-app estate

Monthly. Multi-app portfolio maintained under one service; release train, feature development, tech-debt hygiene.

What goes wrong

Pitfalls we've seen
and how we avoid them.

CMDB abuse

Teams squeeze business data into CMDB tables because they're there. Don't. Model a proper scoped app.

Classic UI by default

Users rightly complain. Workspace + UI Builder is the default for new workflow apps now.

No testing

ATF skipped because 'it's just an internal app'. First upgrade breaks it. Write the tests.

Scope creep across domains

A simple intake app grows into HR + Finance + IT overlap. Scope guardrails + sunset rules for obsolete apps.

FAQ

Common questions about Custom Apps.

Internal and partner-facing apps work well. High-concurrency consumer-facing apps generally don't — the platform isn't optimized for that, and neither is the licence model. We'll recommend a different stack if that's the right call.
